Conference calls are now as much a part of our daily routine and business as the water cooler, the copy room and casual Fridays. But why are conference calls so beneficial?Cost savings. First off, having a call is far less expensive than traveling out to the clients office were assembling members of a team together in one place. Having a call is beneficial because it saves money on travel.
Commitment. Having a conference call is beneficial because it's far more easy to get participants to commit to a conference call rather than commit to a face-to-face meeting. Yes face-to-face meetings have the stigmata at as being more personal and powerful but if you can't get somebody to meet with you face-to-face you'd gotten nowhere. From a commitment standpoint it is far more easy to say yes to a conference call than it is to schedule time for a face-to-face meeting. In the early stages of a business deal just getting your foot in the door is important and it may be beneficial to start with a conference call rather than a face-to-face meeting.
Time. Conference calls are beneficial because of time. Unlike a face-to-face meeting you can schedule a 5, 10 or 15 minute call to quickly cover the topics you need to address allowing the attendees to get in, get out and go about their day. You can imagine how difficult it would be to schedule a five-minute face-to-face meeting especially if you have individuals that need to come in from off-site. This is the exact reason why individuals and business dread face-to-face meetings, there is often 5 to 10 minutes worth of important discussions followed by 30 minutes of filler to justify the meeting.
Stage fright. Many people are afraid of talking groups. Having a call is beneficial because it reduces the amount of stage fright tremendously and a person that typically would not have spoken in a group setting is very likely to speak up on a call. By having everybody feel more comfortable about contributing the meeting in another self becomes more productive and valuable.
Scheduling. It's just far more easy to schedule a call then a face-to-face meeting. You select a time, e-mail out an invitation with the dial in number and you're good to go. If the size of your meeting expands and you have more attendees than you planned it's not a problem. Think about what would happen if a two-person meeting scheduled in a small office quickly became a 20 person meeting. You have to scramble to find a larger meeting space, this never happens with a conference call.
